Seat limit and seat required

What the "seat limit" and "seat required" errors mean, who counts as using a seat, and how to ask for more.

“Seat limit” means every purchased seat is taken. Active members and live invitations each use one. Free a seat by revoking an invitation or disabling a member, or ask for more seats.

How do I free a seat?

  • Revoke a pending invitation in Teams.
  • Disable a member you do not need. A disabled member keeps their data and frees the seat.

How do I get more seats?

An owner or admin records a seat request, and an administrator on our side approves it. Write to support to speed it up. There is no self-service seat purchase screen yet. See Plans and seats.

What is “seat required”?

You shared a file with a named person who is not a member of, or invited to, your organization, and your organization has a seat limit. Invite them first or share with a public link instead; public links and whole-team shares use no seat.

Does a full team lock people out?

No. People already in keep working. A worker that cannot reach the seat check lets the person in rather than locking them out.
